Traveling by Air or Rail: NSF will purchase your ticket directly from our travel management contractor, AdTrav. YOU MUST RESERVE YOUR ELECTRONIC TICKET THROUGH AdTrav TRAVEL. Note that travel is contingent on an approved Congressional Continuing Resolution or FY19 federal budget. Because of this, we do not recommend that your book your own ticket and seek reimbursement from NSF at this time, as we cannot guarantee that funds will be available for reimbursements. To make your air or rail transportation arrangements, either phone AdTrav at 1-855-417-4024 (toll- free) and identify yourself using the Meeting/Panel ID (V190411), or log into Fastlane’s “Panelist Functions” section, click on the “Travel Arrangements” link, and fill out and submit the Web form. Note: The “Travel Arrangements” link will not be displayed until you have completed the “Participant Registration Questions.” ADTrav will send you an itinerary by e-mail. Electronic ticketing normally occurs three days prior to departure.
Please book your airline tickets through NSF AdTrav Travel office. AdTrav will hold your booking. However, since the Federal Government is on Continuing Resolution (CR) till December 7, 2018, your booking cannot be ticketed. It will be in the Pending status which you will have to reconfirm after December 7, 2018. Dr. Varshney will inform you when the Budget or CR passes through the congress.
Traveling by Car: If your home is in the same local area as the meeting site, and if you wish to drive your personal vehicle to the meeting site (instead of taking a plane or train), you can be reimbursed 55 cents per mile plus tolls, up to the cost of the government-contracted round-trip airfare from your home. However, you may NOT claim reimbursement for parking expenses, because these are covered by your flat-rate compensation. After the meeting, send an e-mail to Dr. Varshney (uvarshne@nsf.gov) to let me know your round-trip mileage and any tolls that you paid.
